Notifications

The bell, sidebar dots, muting a client or conversation, notifications on your device, Slack, the Monday digest and the Needs action list.

On this page

Forge tells you when something happens in four ways: the bell inside the app, a notification on your device, email, and Slack. Needs action is different. It lists what is waiting on you.

The bell

The bell at the bottom of the sidebar shows a count of what you have not read. Open it for the list, or open the full page for more room.

You are told when:

  • someone books, moves or cancels a booking;
  • someone tries to book a paid event type and the payment cannot be started;
  • an enquiry arrives, or a lead comes in through the API;
  • someone fills in one of your forms;
  • a client sends you a message;
  • a client pays an invoice;
  • a client opens, accepts or declines a proposal.

Things you do yourself do not notify you. Booking a client in by hand, for instance, stays quiet.

If a payment cannot be started, the booking is not made and the visitor is asked to try again. You are told when the cause is, or may be, something you can put right, such as your Stripe account or the price on the event type. The notification opens Settings → Payments, and Forge emails you about it as well, at most once a day. If the fault is on our side or Stripe's, you are not notified.

Filter the list by Unread, All or Bookmarked, or by area: Bookings, Leads & forms, Messages, Money, Proposals and Boards. Mark all read clears the count.

The list refreshes about every half a minute while Forge is open.

Dots in the sidebar

A small dot on a sidebar icon means something new has happened in that area since you last opened it. Open the area and the dot clears. The dots are remembered on each device separately.

Mute or snooze a client or a conversation

When one client or one conversation is taking over your bell, you can quieten just that one.

  • Mute notifications lasts until you unmute.
  • Snooze for 1 hour, Snooze until tomorrow morning and Snooze for 1 week end on their own. Tomorrow morning means 08:00 in your own time zone.

You will find these in three places:

  • on a client's record, in its … menu;
  • in Messages, in the header of an open conversation;
  • on a notification in the bell, in its … menu.

A mute stops the bell and notifications on your device for that client or conversation. It also stops the email Forge sends you when their message sits unread. Your booking and payment emails still arrive, and so does everything Forge sends to the client. Nothing is hidden or deleted: the bookings, messages and invoices are all still there when you look.

Settings → Notifications lists everything you have muted or snoozed, with Unmute beside each.

Notifications on your device

  1. Open Settings → Notifications.
  2. Under Browser notifications, choose Enable on this device.
  3. Allow notifications when your browser asks.

You get a ping when someone books, cancels or reschedules, when a booking is completed or marked a no-show, and when an invoice is paid.

Each device is enabled separately. On an iPhone, add Forge to your Home Screen first. See Get the app.

Email

Your own email notifications are listed in Emails and reminders. New bookings, cancellations and reschedules are always emailed to you.

Slack

Forge can post booking and lead events to a Slack channel.

  1. In Slack, create an incoming webhook for the channel and copy its URL.
  2. In Forge, open Settings → Webhooks and add an endpoint.
  3. Choose the Slack message format and paste the URL.
  4. Tick the events you want, and save.
  5. Choose Send test to check it arrives.

You can post new, cancelled, rescheduled and completed bookings, no-shows, new leads, leads that move stage and leads that become clients.

Adding a webhook is part of the paid plans.

The Monday digest

Every Monday morning, from 7am in your timezone, Forge emails your week ahead: bookings, money and pipeline. Switch it off with Monday digest in Settings → Notifications.

Needs action

Needs action is a button on the calendar, and on your lists when something is waiting. It counts what needs you, most costly first:

WhatCounts after
Overdue invoicesStraight away
Refunds to decideStraight away
Unsigned agreementsStraight away
Proposals with no reply5 days
Leads going quiet5 days
Unsent draftsStraight away

From the full list you can snooze an item until tomorrow, for 3 days or for a week, or mark it done.

Change what counts

Open Settings → Needs action. Each rule has its own switch and its own number of days, up to 90. Back to Forge's defaults resets them.

Email me what's waiting sends the same list each morning, around 8am your time, and only when something is waiting.
