Moving in from another tool

Bring your clients, leads and their history over from Calendly, Acuity, HoneyBook, Dubsado, Bloom or a spreadsheet.

Move in brings the people you already work with into Forge. You see exactly what will happen before anything is saved, and you can take a move-in back for 7 days.

Open it from Set up Forge → Bring your business in, or from the Clients or Leads board: More ways to add → Move in from another tool.

What comes across, and what does not

Comes across:

  • Clients and leads, with their name, email, phone and company.
  • Companies, onto your Companies board.
  • Notes: notes columns, tags, addresses, and past sessions or projects, kept as a note on each person.

Does not come across:

  • Bookings. Appointments in your file are kept as a note on the person. Nothing is added to your Forge calendar. If the file has sessions that are still to come, Forge tells you how many, so you can add the ones that still stand.
  • Invoices and payments. A price in the file is kept in the note. Nothing is invoiced or charged.
  • Emails. Nobody in the file is emailed.

People you already have in Forge keep their details. The file only fills in what is missing, such as a phone number.

People with no email address go onto a separate board called Contacts without an email, because a client or a lead in Forge needs one.

Before you start: export your data

Pick the tool you are leaving under What are you moving from? and Forge shows the steps for getting a file out of it. In short:

  • Calendly: open Meetings, choose Export, and download the CSV.
  • Acuity: go to Reports, then Import/Export, and export your appointments as a CSV. You can export your client list the same way.
  • HoneyBook: open Contacts and choose Download spreadsheet.
  • Dubsado: on a computer, open Clients and choose Export.
  • Bloom: go to Settings, then Exporting, and download your Contact Data.
  • A spreadsheet or Notion: save the sheet, or export the Notion database, as a CSV.

Forge knows the Calendly and Acuity export layouts best. For every tool, check each column in the preview before you import.

Move in, step by step

  1. Open Move in and pick the tool under What are you moving from?
  2. Choose Choose the file, or pick Paste a list and paste anything with names and email addresses in it, one person per line.
  3. Read What Forge found. It tells you how many rows and people it read, and what will be created.
  4. Under How to sort people, choose whether to bring people in as clients, as leads, or as the file says. If your dates look like 03/04/2026, say whether that means 3 April or March 4.
  5. Under What each column becomes, check every column. Change any that are wrong, or choose Leave out.
  6. Look over First people, which shows up to 25 of them.
  7. Choose Bring … people in.

Nothing is saved until that last button. The whole file goes in together or not at all.

Bringing the same file in again is safe. Everyone is matched by email and nothing is added twice.

File types and limits

  • Files: CSV, TSV, plain text, or an Excel workbook (.xlsx).
  • Size: up to 5 MB for a CSV or text file, 4 MB for a workbook.
  • Rows: up to 5,000 rows, and up to 2,000 new people in one move-in. Split a bigger file and bring each part in.
  • Pasted lists: up to 2,000 lines.
  • Per day: up to 10 imports.

Google Sheets appears as a choice, and is not switched on for everyone yet. If it tells you so, open the sheet, choose File, then Download, then CSV, and bring that file in under A spreadsheet or Notion.

Let Forge's AI sort the columns

If a file is messy, Sort it out with AI suggests what every column is. It is available on paid plans and during your free trial.

It is a suggestion only. Each suggested column is marked Suggested by AI, you can change any of them, and nothing is saved until you choose the final button.

What is sent to Anthropic, the AI company Forge uses:

  • the column names;
  • example values from the first 20 rows of each column;
  • the number of rows;
  • for a column that repeats the same few short values, such as a status, the list of those values.

Every email address and phone number is hidden first, and a long note is replaced by a count of how long it is. Short values such as names are sent as they are. Whole rows, your existing Forge data and your calendar are never part of it.

Taking a move-in back

For 7 days after a move-in you can remove it.

  1. Open Move in and find it under Recent move-ins.
  2. Choose Remove, then Remove it.

Forge takes back what that move-in added: its notes, and the clients, leads and companies nobody has touched since. Anyone you have booked, invoiced, messaged or written a note on since then stays.

Importing straight onto a board

If you only have a simple list, each board has its own Import from CSV under More ways to add. It asks what each column means before anything is saved. See Boards.

On Clients and Leads, anyone in the file with no email goes onto the same Contacts without an email board, and the summary tells you how many. On Clients, a Company column links each client to their company.
